This Privacy Policy explains how Urge Interactive, LLC (“Urge Interactive,” “we,” “us,” or “our”) collects, uses, shares and protects personal information. It covers our website at urgeinteractive.com (the “Site”), our live chat, our contact and support forms, our phone and text lines, our email, our video meetings, and our client portal. It also explains the choices and rights you have and how to use them.
We are a marketing agency for medical and aesthetic practices, based in West Hollywood, California, and we work with practices in the United States and Canada.
Signing up for services, billing, subscriptions and cancellation are covered by our Terms of Service. This policy does not change those terms.
The short version
- We collect what you give us (for example, through a form, the chat, a text, a call or a meeting) and some information about how you use the Site.
- We use it to answer you, provide our services, run our business, and improve and market our services.
- We do not sell personal information.
- Analytics and advertising tools on the Site load only if you accept them in our cookie tool. You can change your choice at any time with the “Your Privacy Choices” link at the bottom of every page.
- Our Site honors the Global Privacy Control (GPC) signal when you have not already made a cookie choice.
- We never share your mobile number or text message consent with anyone for their own marketing.
- Video meetings with us may be recorded and summarized. We tell you at the start, and you can ask us not to record.
- Please do not send us health information about yourself or any patient through the Site, chat, text or email.
- You can ask to see, correct or delete your information by emailing info@urgeinteractive.com or calling (888) 348-3113.
Information we collect
Information you give us
- Contact and consultation forms. Your first and last name, email address, phone number (optional on some forms), business name, the service you are interested in, and your message.
- Support form. Your name, email address, the priority you choose, and your message.
- Newsletter sign-up. Your email address.
- Live chat. Your name, email address, the topic you choose, what you tell us, and the full chat conversation. See “Our website chat” below.
- Phone calls and text messages. Your phone number, what you say or write, and the date and time. See “Text messages” and “Phone calls and recorded meetings” below.
- Video meetings. What you say and show during the meeting, and, when a meeting is recorded, the recording, transcript and written summary. See “Phone calls and recorded meetings” below.
- Clients. Business and billing contact details, account log-in details for our client portal, records of the services you buy, invoices and payment history, and the access, files and information you provide so we can do the work. Payment details are handled as described in “Payments” below.
- Job inquiries. If you send us your work or resume, the information you choose to include.
Information collected automatically
- Our own server. Like most websites, our server logs your IP address, browser and device type, the pages you request, and the date and time. Our chat system also keeps a live list of current visitors so our team can see when someone may need help. For that list, the Site sends our own server the address and title of the page you are viewing and the page that referred you, and our server records your IP address and an approximate location (such as city and region) worked out from that IP address. This runs on our own server, not a third-party service. It starts when the page loads, before you make a cookie choice, and it stops if you click “Reject” in our cookie tool or your browser sends a Global Privacy Control signal.
- Cookie tool records. When you make a cookie choice, the Site saves your choice in your browser and sends our server a short record of the choice (for example, “accepted” or “rejected”) so we can count how visitors respond to the cookie tool.
- Cookies and similar tools. If you accept them, analytics and advertising tools collect information about your visit. See “Cookies, pixels and similar tools” below.
Information from other sources
- Analytics and advertising partners. Reports about how people find and use the Site, and how our ads perform. These reports are mostly in summary form.
- Public business sources. Information about practices and businesses that is publicly available, such as a practice’s website, business listings and professional profiles.
- Referrals. Contact details that a client, partner or colleague gives us when they introduce you.
Health information
The Site, chat, text lines and email are not meant for health information. Please do not send us details about your own health or any patient’s health, or any patient records. If a message contains this kind of information, we limit our use of it to answering you, and we may delete it.

How we use information
We use personal information to:
- Answer your questions and requests, and schedule calls and consultations
- Provide, manage and improve our services, including our client portal
- Send messages you asked for, such as follow-ups, appointment reminders, account notices and, if you agreed, marketing messages
- Bill for our services and keep business, tax and accounting records
- Run, secure and improve the Site, and prevent spam, fraud and abuse
- Understand how visitors use the Site and measure how our marketing performs
- Show our ads to people who have visited the Site, if they accepted advertising cookies
- Follow the law, respond to legal process, and protect our rights and the rights of others
We use automated tools inside our own systems to organize this information, for example to sort inquiries, prepare summaries of meetings and chats, and draft follow-ups. A member of our team reviews and decides what we do. We do not make decisions about you that have legal or similarly significant effects based only on automated processing.
Our website chat
When you start a chat on the Site, we ask for your name, email address and topic before the chat begins. We save the full conversation, along with the page you started from and the technical details listed above. Chats are stored on our own server and in our client and lead management system so we can follow up with you. When our team is away from a computer, chat messages may be sent to our team’s phones by text message through our texting provider, and replies come back into the chat. You can email yourself a copy of a chat from the chat window. Please do not share health information in the chat.
Text messages
If you text our business line or agree to receive texts from us, we collect your mobile number, your messages, and the date and time. Our texting provider delivers the messages for us.
Today we use text messages to answer people who text us. In the future we may also send follow-ups on your inquiry, appointment and meeting reminders, account notices and, only if you agree, marketing messages. We will text you only as described in our SMS Terms. Message frequency varies. Message and data rates may apply. Reply STOP to opt out at any time, or HELP for help. Agreeing to receive texts is never a condition of buying anything from us.
We do not sell, rent, share or otherwise give your mobile phone number, text message opt-in or text message consent to any third party or affiliate for their marketing or promotional purposes. Text message opt-in data and consent are excluded from every type of sharing described anywhere in this policy. Our texting provider and other service providers receive this information only to deliver messages and run our text program for us.
Phone calls and recorded meetings
We hold video meetings with prospective and current clients on Google Meet, including exploratory calls, free consultations, kickoff calls and monthly strategy meetings. We may record these meetings. When we record, Google Meet shows all participants that the meeting is being recorded, and we also say so at the start of the meeting. If you do not want to be recorded, tell us and we will turn recording off or continue another way.
When a meeting is recorded or Google’s note-taking feature is on, Google creates a recording, a transcript and a written summary and stores them in our Google Workspace account. Our own systems may then read the recording, transcript and summary to keep a record of what we discussed, list next steps, and help us provide our services. We may share the meeting notes with the people who attended. We do not use meeting recordings for advertising.
We may also keep records of phone calls, such as the number that called, the date and time, and voicemails. If we ever record a phone call, we will tell you at the start of the call.
Please do not share patient health information during calls or meetings.
Cookies, pixels and similar tools
Cookies are small files saved in your browser. Pixels and tags are small pieces of code that send information about your visit to the company that provides them. Our cookie tool appears on your first visit. Apart from the necessary items described below, analytics and advertising tools load only after you accept them. You can change or withdraw your choice at any time with the “Your Privacy Choices” link at the bottom of every page. Your choice is saved for one year, or until you clear your browser’s cookies and site data.
Clicking “Accept” turns on every category, including advertising when we have advertising tags on the Site. Clicking “Reject” turns off everything that is not necessary. “Manage Cookies” lets you choose category by category.
Our cookie tool groups these tools into categories:
- Necessary. Needed for the Site to work and to remember your cookie choice and chat settings. These are always on.
- Functional. Features that rely on outside services, such as content from other sites. We do not use any functional tools at this time. If we add any, they will be listed in the cookie tool.
- Analytics. Google Analytics, loaded through Google Tag Manager, which tells us how visitors find and use the Site, such as pages viewed, scrolling, downloads, clicks on our phone and email links, and the name of a form that was sent. When analytics is on, Google’s tag may also detect an email address or phone number you type into a form and send Google a coded (hashed) version of it for measurement.
- Advertising. Tags from advertising platforms that measure our ads and let us show ads to people who visited the Site (often called “retargeting” or “remarketing”). The advertising platforms we use or may use are Google Ads, Meta (Facebook and Instagram) and LinkedIn. This category appears in the cookie tool whenever we have advertising tags on the Site, and those tags load only if you accept them.
We also use Google’s consent settings, so Google’s tags know whether you have agreed to analytics and advertising cookies and adjust what they collect.
Sharing for advertising
When you accept advertising cookies, the advertising platforms we use receive information such as your IP address, cookie and device IDs, the pages you visit on the Site, and the actions you take (for example, sending a form). They use it to measure our ads, to show our ads to you on their services and other sites, and to build audiences of people who are similar to our visitors. California law calls this “sharing” for cross-context behavioral advertising, even when no money changes hands.
These platforms may combine this information with what they already know about you and may collect information about your activity over time and across different websites and apps. They use it under their own privacy policies:
- Google: Google Privacy Policy and How Google uses information from sites that use its services
- Meta: Meta Privacy Policy
- LinkedIn: LinkedIn Privacy Policy
You can opt out of this sharing at any time by clicking “Reject” in our cookie tool, by turning off the Advertising category, or by using Global Privacy Control. You can also manage ads directly with each platform and through industry tools:
- Google My Ad Center and the Google Analytics Opt-out Browser Add-on
- Meta ad preferences
- LinkedIn advertising settings
- Digital Advertising Alliance opt-out, Network Advertising Initiative opt-out
Opting out through these industry tools is browser-specific and depends on cookies, so you may need to repeat it on each browser or device.
Global Privacy Control and Do Not Track
Global Privacy Control (GPC). Our Site honors GPC. If your browser or extension sends a GPC signal and you have not already made a choice in our cookie tool, the Site treats it as your request to opt out of sale and sharing and records it as a “Reject” for that browser. If you made a choice before turning on GPC, that choice stays until you change it with the “Your Privacy Choices” link, and the Site does not ask a GPC browser to allow advertising. Analytics and advertising tools do not load, and our live visitor list stops recording your visit. The first time the Site detects the signal, it shows a short message confirming that your choice is being honored. GPC applies to the browser or device that sends it. If you also want your opt-out applied to other information we hold about you, such as your email address in our records, contact us using the details below. To learn how to turn on GPC, visit globalprivacycontrol.org.
Do Not Track. Some browsers offer an older “Do Not Track” setting. There is no common standard for responding to it, so the Site does not respond to Do Not Track signals. It does honor GPC as described above, and our cookie tool gives you the same control.
Tracking by others across sites. If you accept analytics or advertising cookies, Google, Meta and LinkedIn (where we use their tags) may collect information about your online activity over time and across different websites when you use the Site. If you reject those cookies or use GPC, their tags do not load on the Site.
How we share information
We do not sell personal information, and we have not sold it in the past 12 months.
We disclose personal information only in these situations:
- Service providers. Companies that work for us under contracts that limit how they may use the information, including our website hosting provider, our email provider, Google Workspace (email, calendar, video meetings and meeting notes), our texting provider (Twilio), our payment processors (Authorize.net and Stripe), and Google Analytics. Our client and lead management system runs on our own servers.
- Advertising platforms, if you accept advertising cookies, as described in “Sharing for advertising” above.
- People you ask us to share with, for example when you ask us to coordinate with your practice’s other vendors.
- Legal reasons. When the law requires it, to respond to a subpoena, court order or other legal process, or to protect the rights, property or safety of Urge Interactive, our clients or others.
- Business changes. As part of a merger, acquisition, financing or sale of all or part of our business, in which case the information stays subject to the promises in this policy.
In the past 12 months, we have disclosed each category of personal information listed in “Notice at collection” to the service providers named for that category, for the business purposes listed there. We do not have actual knowledge that we sell or share the personal information of anyone under 16.
Your choices
- Cookies. Use the “Your Privacy Choices” link at the bottom of any page to accept, reject or customize cookies.
- Global Privacy Control. Turn on GPC in your browser to opt out automatically.
- Email. Use the unsubscribe link in any marketing email, or contact us. We will still send messages about services you buy from us.
- Text messages. Reply STOP to any text from us. You can also tell us by email or phone.
- Recording. Tell us at the start of any meeting if you do not want it recorded.
Your privacy rights
We honor the requests below from anyone, wherever you live, subject to the exceptions the law allows.
- Right to know and access. Ask what personal information we have about you, where it came from, why we collected it, and who we disclosed it to, and ask for a copy.
- Right to delete. Ask us to delete personal information we collected from you.
- Right to correct. Ask us to correct personal information that is wrong.
- Right to opt out of sale or sharing. We do not sell personal information. You can opt out of sharing for advertising with our cookie tool, with GPC, or by contacting us.
- Right to limit use of sensitive personal information. We use sensitive personal information only for the purposes the law allows, as described above, so there is nothing to limit.
- Right to withdraw consent. Withdraw consent you gave us, such as consent to texts or marketing emails. This does not affect anything we did before you withdrew it.
- Right to non-retaliation. We will not deny you service, charge you a different price, or treat you differently for using any of these rights, including if you are a job applicant.
How to make a request
- Email info@urgeinteractive.com with “Privacy Request” in the subject line
- Call us toll-free at (888) 348-3113
- Send a message through the form on our Contact page and choose “Other”
- Write to us at Urge Interactive, LLC, Attn: Privacy Officer, 7906 Santa Monica Blvd., Suite 201, West Hollywood, CA 90046
Tell us what you are asking for and how to reach you.
How we verify requests. To protect your information, we confirm your identity before we give out or delete information. We will ask you to confirm details we already have, such as your name and the email address or phone number you used with us, and we may send a code or a confirmation message to that email address or phone number. Clients may be asked to confirm account details. We will use the information you give us to verify your request only for that purpose. You do not need to verify a request to opt out of sharing.
Authorized agents. You may ask someone else to make a request for you. The agent must give us your signed permission or a valid power of attorney, and we may ask you to confirm your identity directly with us.
Response times. We will confirm that we received your request within 10 business days and respond within 45 days. If we need more time, we will tell you why, and we may take up to 45 more days where the law allows. If we cannot fully meet a request, we will explain why.
Privacy Officer
We have a Privacy Officer who is responsible for our compliance with this policy. You can reach the Privacy Officer at info@urgeinteractive.com, (888) 348-3113, or Urge Interactive, LLC, Attn: Privacy Officer, 7906 Santa Monica Blvd., Suite 201, West Hollywood, CA 90046.
How long we keep information
We do not delete information on a fixed schedule. We keep personal information while we need it for the purpose we collected it for, and then we archive it. We keep archived records so we have an accurate history of our conversations and work with you, can answer later questions, can honor your choices, and can meet our legal, tax and accounting duties and protect our legal rights. We keep information until you ask us to delete it or until we decide we no longer need it for these purposes.
You can ask us to delete your information at any time, and we will delete it unless the law requires or allows us to keep it. For example, we keep a record of a text message or email opt-out so we do not contact you again, and we keep billing records for as long as tax and accounting rules require.
Information that Google, Meta or LinkedIn collect through their tags is kept under their own policies and settings. For Google Analytics, we choose how long Google keeps detailed visit data in our account settings.
How we protect information
We use reasonable administrative, technical and physical safeguards to protect personal information from loss, misuse and unauthorized access, use or disclosure. The Site uses an encrypted (HTTPS) connection. Access to our systems is limited to people who need it to do their work. No method of sending or storing information is completely secure, so we cannot guarantee absolute security.
Information we handle for our clients
When we provide services to a practice, we may handle personal information on that practice’s behalf, such as inquiries that come in through the practice’s website forms or chat. In that case we act as the practice’s service provider, we use the information only to provide our services to that practice, and the practice’s own privacy policy applies. If you are a patient or customer of one of our clients, please contact the practice directly with privacy questions or requests, and we will help the practice respond. When we connect a practice’s marketing to its results, we use anonymous identifiers instead of patient names or records. We do not sell or share our clients’ customer data.
Payments
Our payment processors, Authorize.net and Stripe, collect and process payment card and bank details under their own privacy policies and the payment card industry’s security standards. We do not store full payment card numbers on our own servers. Billing, subscriptions, renewals and cancellations are covered by our Terms of Service.
Links and other websites
The Site links to websites and services we do not control, such as social media pages and map directions. Their own privacy policies apply when you use them.
Children
The Site and our services are for businesses and adults. They are not directed to children under 16, and we do not knowingly collect personal information from children under 16. If you believe a child has given us personal information, contact us and we will delete it.
Changes to this policy
We review this policy at least once a year and update it when our practices change. When we update it, we post the new version on this page and change the “Last updated” date at the top. If we make a material change, such as using personal information in a new way or adding new types of sharing, we will also post a notice on the Site before the change takes effect and, for clients and others who have an account or ongoing relationship with us, we will tell you by email. We will not use personal information we already have in a materially different way without your consent where the law requires it.
